Position Title:
Senior Data Processing Control Clerk
Job Responsibilities:
- Supports the Related Service Supervisor and functions of the therapy / related program including but not limited to: managing therapy caseload distribution, therapy staff budgetary changes, related service billing data support, district communications, medicaid data management and reporting.
- The Senior Data Processing Control Clerk, School Management Services, is part of a team supporting one or more school management application software services for school districts. This employee is an expert in how selected application software functions, the implications of various configurations, and the optimal ways to achieve desired results. For this reason, the Senior Data Processing Control Clerk is the linchpin of all troubleshooting activities - from problem identification to problem resolution. The Senior Data Processing Control Clerk reports to a Coordinator, Manager or other supervisor. Although the Senior Data Processing Control Clerk does not act as a supervisor of other employees, (s)he may guide, encourage, monitor, and oversee the Control Clerks, Programmers, and/or Technicians in the course of taking responsibility for the service.
Specific Duties:
1. Directs the activities of the Data Processing Control Clerks and functions as backup when needed.
2. Performs specialized clerical/data processing procedures of the department.
3. Compiles data for financial reports and billings.
4. Initiates application controlled software procedures.
5. Initiates controller procedures for overnight processing on occasion.
6. Assures that records of data submitted for processing are maintained.
7. Investigates and assists in correction of application problems reported by districts in areas of greater complexity than those
assigned to Data Processing Control Clerks. This includes logging of problems, clarifying issues with programming staff and/or
vendor, communicating changes and performing quality control testing of software fixes and enhancements.
8. Assists in developing new procedures and revising old procedures to improve data processing and customer service.
9. Assists in training other team members and users on appropriate functions.
10. Masters office automation applications (Ex. word processing, email, Internet, etc.).
11. Assists in planning and conducting user meetings.
12. Assists districts with software system changes and beginning of year/ending of-year procedures.
13. Reviews key input from districts to assure correct output. Advises districts on input questions.
14. Provides telephone support to districts for assigned applications.
15. Provides on-site support to districts for assigned applications as needed.
16. Provides one-on-one and small group trainings along with instructional materials at district sites for new districts
implementing assigned software applications subsequent to classroom training on that application.
17. Assists in completing download/upload requests from districts.
18. Ensures district compliance with deadlines for agency reports (TRS, ERS, W-2s, NYQ, 1099, ST-3, SA-100, SA-129, etc.).
19. Establishes and maintains good working relationships.
20. Maintains confidentiality.
21. Assists in other team activities as required.

Minimum Civil Service Qualifications:
Must hold permanent status as a Senior Data Processing Control Clerk or be reachable on current Senior Data Processing Control Clerk list; or meet minimum qualifications for a provisional appointment as follows:
A) Completion of two (2) years of study at a regionally accredited or New York State registered two (2) or four (4) year college and two (2) years of office or clerical experience, at least one (1) year of which involved the operation of data processing equipment or the clerical processing of computer input or output;or:
B) Graduation from high school or possession of a high school equivalency diploma and four (4) years of office or clerical experience, at least one (1) year of which involved the operation of data processing equipment or the clerical processing of computer input or output; or:
C) An equivalent combination of training and experience as defined by the limits of (A) and (B).
Desired Qualifications:

High level of experience in all MS Office products

Experience and high level of competence in creating and using spreadsheets
