Hourly Rate:
$19.90

Annual Education Stipends:
$500 for Associates Degree/Accredited Training Program Certification or
$1000 for Bachelors Degree or
$1500 for Masters Degree

Job Description:

Provides comprehensive administrative, clerical, and organizational support including scheduling, records and supply management, client interaction, and event coordination, while maintaining a high level of professionalism and efficiency in a fast-paced, team-oriented environment. Demonstrates strong knowledge of office procedures, business communication, and clerical skills, with the ability to carry out 
complex instructions, exercise sound judgment, and interact with others tactfully and courteously. 

 

General Administrative Duties 

  • Assist with scheduling, preparation, and arranging meetings, training programs, conferences, interviews, and events. 
  • Maintains a calendar of appointments and ensures necessary arrangements are made. 
  • Composes, types, and prepares correspondence, reports, and other written materials. 
  • Assists in the preparation, organization, and analysis of special reports and projects. 
  • Provides coverage and serves as backup/relief at the reception desk. 
  • Demonstrates clerical aptitude and the ability to type from clear copy or rough draft at an average rate of speed. 

Communication & Client Interaction 

  • Receives and responds to phone calls, emails, and in-person inquiries, routes communications to appropriate personnel. 
  • Places outgoing calls and distributes messages as necessary. 
  • Interacts with school district clients and personnel professionally and confidentially. 
  • Provides assistance to Instructional Services staff and support to other clerical staff as needed. 
  • Uses tact and courtesy in all communications. 

Mail & Records Management 

  • Retrieves and distributes mail from the mail room. 
  • Files, organizes, maintains, and supervises records and schedules on divisional data and client specific needs. 
  • Maintains regular filing systems and electronic records for reporting and reference. 
  • Assist in student transcript requests. 

Supplies & Procurement 

  • Maintains inventory and oversees ordering and maintenance of office supplies, equipment, books, etc. 
  • Assists in organizing and maintaining purchase orders, requisitions, and related files. 
  • Monitors delivery of ordered items and ensures documentation is complete and payment authorization is released to Accounts Payable. 

Clerical & Technical Tasks 

  • Utilizes computer systems and software to complete administrative and clerical tasks. 
  • Assists supervisory staff with assigned clerical and administrative tasks. 
  • Prepares and maintains documentation, records, and reports as needed. 
  • Demonstrates good knowledge of office terminology, procedures, and equipment. 
  • Understands and carries out complex oral and written instructions.

  • Performs detail-oriented work in a fast-paced, deadline-driven environment. 
  • Organizes and prioritizes multiple tasks effectively. 
  • Exercises sound judgment in routine and non-routine situations.

Job Qualifications

Minimum Civil Service Qualifications:

Must hold permanent status as a Senior Clerk Typist; or; Must be reachable on current Senior Clerk Typist civil service list; or; Must meet minimum qualifications for a provisional appointment as follows:

A) Graduation from high school or possession of a high school equivalency diploma including or supplemented by a course in typing and one (1) year of office clerical experience.

Additional Qualifications:

  • This position is subject to civil service examination at a future date

  • Must be organized, detail-oriented and tech-savvy
