Hourly Salary:
$23.86/hr

Annual Education Stipends:
$500 for Associates Degree/Accredited Training Program Certification or

Job Responsibilities:
1. Facilitates and coordinates the activities of the Career Development Services division.

2. Maintains a regular filing system concerning divisional use. Divisional Files Teacher/Support Staff Files – Evaluations

3. Processes incoming correspondence and prepares responses for communications of a routine nature.

4. Places and receives telephone calls and other messages.

5. Maintains a schedule of appointments and plans for conferences and interviews.

6. Assists in the administration of various programs and activities as assigned by the Division Director.

7. Maintains required divisional records necessary for reporting and reference.

8. Assists in the preparation and analysis of surveys and other data gathering documents.

9. Supervises clerical operations in the division.

10. Create purchase orders and maintain files for all division purchase orders.

11. Assists in other clerical/administrative functions as directed by the Division Director.

12. Process payroll/Attendance for CTE/Workforce staff. Produces daily report.

13. Records minutes at various CTE Meetings

14. Create/Maintain Sub Lists, AESOP and Letter of Assurances

15. Assignment Letters

16. Create/Process IEA’s/SPC’s

17. Process:

  • Accident Forms
  • Claim Forms
  • Travel Conference Request Forms

18. Transcript files

19. Perform other duties as assigned by supervisor.

20. All other duties as assigned by supervisor.

SUPPORTING ROLE:
1. Process various types of official local, state and federal reports and forms. CO-Ser Reports, CTEDS, Uniform Cost, Reports, 602 Report.

2. Builds/Maintains budgets for CTE and Teacher Center. Does monthly billing, amendments inputting change orders from districts' requests for services.

3. Assists in the preparation of special reports and records - e.g. COSER data, grants.

4. Creates and monitors budget, prepares change orders from districts' requests for services and budget amendments for Director's approval.

5. Loads and monitors Perkins Grant. Completes grant paperwork as needed.

Job Qualifications

Minimum Civil Service Qualifications:

Must hold permanent status as a Principal Clerk Typist; or; Must have received a canvass and be reachable on Principal Clerk Typist #88-279 list; or; Must meet minimum qualifications for a provisional appointment as follows:

A) Completion of two (2) years of study at a regionally accredited or New York State registered college or business school, supplemented by courses in typing or word processing and two (2) years of office experience including typing or word processing; OR;

B) Graduation from high school or possession of a high school equivalency diploma, supplemented by courses in typing and word processing and four (4) years of office experience including typing or word processing; OR;

C) An equivalent combination of training and experience as defined by the limits of (A) and (B) above.
