Typical Work Activities:

  • Maintains a schedule of appointments and makes arrangements for interviews.
  •  Answers a variety of inquiries by telephone and in person and prepares correspondence for signatures.
  •  Screens material submitted by staff members for compliance with procedures and policies before forwarding for action or decision.
  •  Collects information to be used as a basis for reports and memoranda.
  •  Prepares summaries and reports of various phases of completed and ongoing projects.
  •  Maintains records of all participation/contract related projects.
  •  Sets and arranges meetings, training programs, and conferences.
  •  Maintain records of attendance.
  •  Prepares copies of brochures, reports, newsletters, and various other publications.
  •  Receives phone calls/emails and responds or directs them to appropriate personnel.
  •  Maintains an inventory of needed supplies and leads the responsibility for the ordering and maintenance of supplies as needed for the division and individual staff.
  •  Assists with time sheets, payroll and other financial paperwork processes.
  •  Makes travel arrangements for the director as well as other Communication Services staff.
  •  Provides data entry into websites and other on-line systems
  •  Manages mail in and out of division office area.
  •  Maintains files related to requisitions/purchase orders and monitors delivery of ordered equipment/software/furniture for the office.
  •  Other duties may be assigned that are relevant to the civil service job description for this title

FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: 
Good knowledge of office terminology, procedures and equipment; good knowledge of business arithmetic and English; ability to understand and carry out complex oral and written instructions; ability to type from clear copy or rough draft at an average rate of speed; clerical aptitude; sound judgment; neatness; tact and courtesy; physical condition commensurate with the demands of the position.

General Duties:

Specific Duties (Illustrative only: not all-inclusive)

1) Distributes and oversees clerical/administrative tasks to be accomplished by other clerical staff in the department.

2) Maintains a regular filing and reference system concerning Health, Safety/Risk Management data which includes training records.

3) Processes incoming correspondence.

4) Places and receives telephone calls and other messages.

5) Orders and maintains supplies as needed.

6) Maintains a schedule of appointments, training programs, and makes arrangements for conferences and staff training.

7) Processes various types of official local, state and federal reports and forms.

8) Assists in the preparation of special reports. Screens material for correct procedures and accuracy.

9) Assists in the administration of activities as assigned by the manager.

10) Assists in the preparation and analysis of surveys and other data gathering documents which includes maintaining the BOCES Health, Safety/Risk Management manual.

11) Provides coverage for telephone as required.

12) Prepares workshop announcement correspondence.

13) Keeps calendar for Health, Safety/Risk Management staff.

14) Assists in other clerical/administrative functions as directed by the manager.

15) Schedules CPR classes and works with Senior Coordinator in assigning instructors. Entering required information into the American Heart software program.
